If a resource is over utilised and you adjust the hours to match the available time will Project flag up where this leaves you short of resource and which view is the best place to see this?

Thank you for your question

Could you clarify a couple of points for me please?

First, when you say adjust the hours to match the available time do you mean that;

You reduce the hours worked so that the resource can complete the task in the time frame but with less hours worked.

Or

You reduce the duration (in Hours) of the task to match the time available to the resource.

Second, when you say "short of resource" do you mean you want to see the reduction in the hours worked, or the cahnge in task duraton as a result of your changes?

Hi Stephen

Thanks for the reply, to clarify, I meant that I reduced the hours worked so that the resource is not required to work more hours than are available. I had selected fixed duration which meant that the duration of the task would not change but that would mean that the task could not then be completed in the time allowed due to insufficient resource. I wanted to know which view to use to see the effect of this change and does Project identify that I don't now have sufficient resource allocated to complete the task in the duration allowed.

Hi Teri

If you reduce the number of hours that a resource is working on a task and set the duration to fixed duration, project will recalculate the amount of work on the assumption that the task can now be completed with that amount of work.

For example, if a task has one person working 3 8 hour days then the total amount of work is 24 hours. If you then reduce the hours worked to 12 hours, project will assume that you now mean that it can be completed with that amount of effort.

If that was not the case, then you would have to make up the shortfall, either by increasing the task duration or adding in extra resources.

There is no view that would automatically record this reduction in hours
