Hi,
Can you please tell me how to bring up tasks for a specific month for example May. What I want to see is all tasks in with an end date of 30 May and then follow up with my team as to where they are at in completing the tasks by 30 May.

Hello Leeora

Thanks for your question. There are a couple of techniques you could try which should show you the tasks for a specific month. First of all, if you normally have the GANTT view on screen, try changing to Calendar view. To do this, simply select Calendar from the View Bar, at the left of the screen, or go to the View menu and choose Calendar from there. You can scroll through the months, one by one, and see all activity in that period.

Perhaps an easier way to see all the tasks for a specific period - not necessarily a calendar month - is to use a filter. If you look at the Formatting toolbar, you will see an entry that says All Tasks towards the right of this toolbar. It has a little drop down arrow at the right of it. Found it? OK. Click the drop down arrow and select Date Range. You can then specify a start and end date for the range. The view you are using on-screen will refresh and now show you just the tasks within that range.

When you have finished looking at that specific period, go back to the filter drop down and choose All Tasks. There are other options in the filter drop down that may interest you but I'll leave you to try them out.

Thanks Thia.
What I was aiming to do was:

1. Bring up all tasks for the month of May so my Project Manager can see what needs to be completed

2. Bring up all tasks two months ahead so the Project Manager can see what is coming up and can plan work time around it.

How is th best way to do this? He also wants to know if we can print out reports to show this. I know I've done this in the training but have forgotten how to and need to do it asap today.

Hi Leeora

You might want to try this - from the Project menu go to filtered for... and choose Date Range. Put in the start and end dates and Project will filter to show just the tasks you are interested in.

Alternatively you might want to turn on autfilter by going to Project > Filtered for... and from the bottom of the sub menu choosing auto-flter.

Each column label now has a drop down triangle. Clicking on the drop down triangle on the Finish column and choosing (this month, next month etc) to filter to show tasks that fall in that range.

To work with a specific date try this (with auto-filter turned on) click on the drop down triangle for the finish column and from the filter list choose (custom...). Set the criteria perhaps to "less than or equal to" and the end date you are looking for.

Formatting Bar Text

To display notes or resource initials on the Gantt chart bars, choose Format, Bar Styles and the Text tab. Select the position you want to show the text i.e. Top or Inside etc, then choose the field name you are looking for from the drop down arrow. Type the first letter of the name to get quickly to the top of the letter range. Click OK.
