Annotating PPT slides sent by others

I often get briefed by organisations that e-mail me PPT presentations in advance of the briefing. I would like some tips on how to take notes on the slides. I find this hard today, so I usually take notes in a separate Word document. Thanks!

Hi Jonathan

Thank you for your question and welcome to the forum.

You could use either the notes pane or comments for annotations.

When you open a PowerPoint presentation there is a note pane area which appears directly underneath each slide where you can type your own notes.

You can then print the slides with notes by going to File - Print and selecting Notes Pages from the Print What options.

Alternatively, you could use Comments to annotate slides and then review your comments using the Reviewing toolbar.

To add a comment, click at the point where you wish to make the annotation and then go to Insert - Comment. Then you can go through your comments one at a time on the slides using the Reviewing toolbar (View - Toolbars - Reviewing). The Next Item and Previous Item buttons allow you to go through the comments in order, if you wish to review them.

The Markup button on the left of the Reviewing toolbar controls whether you can see the comments or not. So if you wish to hide your annotations you can click the Markup button. Clicking it again displays the comments.

Removing unused toolbar buttons in PowerPoint

Are there buttons on your PowerPoint toolbars that you never use? Remove them from the toolbar by doing the following:

1. Go to Tools - Customise - Commands.
2. Select the toolbar button you wish to remove, then use your mouse to drag and drop the button into the PowerPoint window. When you release your finger from the mouse, the button will disappear.
