Morning, I have created a shared database and somehow managed to get an icon on my desktop which is the only way I can open my database. I now need to share the database, how can I send a link to them for them to create the icon on their desktops?

Just right clicking and saying create shortcut does not work.

Thanks for your question.

I presume the database is stored on your network since more than one person is accessing it. Try get each person to navigate to where the database is saved, then right-click on the database file and then select Send To then choose Desktop (create shortcut) from the menu.

Hi Amanda, I have tried that and it creates a shortcut icon but when you try to open it a message comes up saying that the person does not have the correct permission? Yes, it is on our network.
I have set up user group and from the icon on my pc I can log in as everyone so they have access?

This sounds like a security or permission problem.

It also depends on how your network is set up. Is it Windows, what version? Are you all on a workgroup or a domain? Do you each have separate log-ins?

You said earlier you couldn't open the database except by using the shortcut icon on your desktop. Why is this? You can right click the shortcut icon, then choose Properties to see which folder on your computer the actual file is stored. Surely then you can browse to this folder using MyComputer and see/open the file there?

When you've done that, the other users on your network should also do the same thing, but they'd need to go to their Network Neighbourhood (or My Network Places), locate your computer, then follow the same folder structure to find your folder in which the Database is located.

The above step relies on having your computer and the folder shared properly. The Databae file itself may also need to have it's security permissions adjusted. For example, you may need to enable 'read' permissions for Everyone. Right click on the file and go to the Security tab to change this (on Windows 2000 or XP).

There's no point trying to adjust security permissions on the shortcut icon on your desktop, that's not going to make any difference. It needs to be on the actual Database file itself.

If you have an IT administrator, it may be quicker to solve the problem by talking to them about it.

Hi, I am still having problems with this. I realised though the shortcut was created when I set up the workgroup file so I created a new database and imported the info from the old and started from fresh, now people can access it from source but
my problem now remains that the minute I start trying to set up a workgroup things start going wrong. My IT administrator is battling with this as well

What is the simplest way of setting restrictions to one area. I need only use Admin and Users but working through the steps I still go wring somewhere in assigning people to groups, any help? When people access the db they not asked for a username?
P.S do you offer telephone advice, someone can actually talk you through it over the phone?

I'm not quite sure what you mean by restrictions to one area and workgroups so I have assigned this question to a trainer that has more knowledge on Microsoft Access. The trainer may post here with further questions to assist in resolving your problem.

Morning Richard, thanks for your help on this. we seem to have now sorted it the problem was not with how I was setting up my workgroup and the permissions assigned it cam down to when sharing the file that the target was not reading all 3 pieces of the information - the database, security etc. So all that is required is sending the full target name to the group and they then had to set a new shortcut to their desktop and inserting the full target and all was then sorted. SO the database can only be opened from the icon on their desktop. Thanks for the time spent on this. Jane
