You can leverage the "Copy Picture" (looks like a camera) option to get information into Word.

In Microsoft Project 2003, there is also a Toolbar called Analysis (>View, >Toolbars, >Analysis). On the Analysis toolbar is an option to "Copy Picture to Office Wizard". This will guide you through the steps of getting information from MS Project to Word.

Rosalind,

In additiont to the copy picture option you can also opt for "Save as Web Page" or "Save as HTML" which will give you the option to output selected data from your schedule to a web page that can then be sent to recipients as an attachment to an email - big advantages are that you do not reveal "all" the info in your schedule but just the info you want people to have.

You can also include a Gif image of your schedule in the web page, this is acheived using the Copy Picture option and saving the image as a Gif image file.

When using the Copy Picture option here are a few tips.

1: Click the "Show all Subtasks" button.

2: Left click once on the grey cell in the top left hand corner of the table, in any gantt chart view, this higlights all of the rows and columns in the table.

3: Drag the vertical dividing line to the right hand side of the last column of data you want to display, typically this will be the duration or finish date column.

4: Double click on the vertical dividing line to "dock" it to the right hand border of the last column you want to display.

5: Right click with your mouse on the grey "Timescale" on the top of the Gantt Chart display and select Zoom followed by Entire Project and then click OK.

Performing these actions prior to clicking the Copy Picture button will mean that the default options "Copy Selected Rows" and "Timescale - as shown on screen" will ensure that your entire schedule is copied and visible as a Gif image.

To draw attention to a bar on your Gantt chart simply double click it. From the dialogue box that opens make your selection of text and bar modifications.
