Nicole has attended:
Project Intro Intermediate course

MS Project

I attended the 2 day course and am now trying to put together my first project which is recruitment based. I am trying to schedule in times where people will be interviewing and if 2 people are interviewing I have split them 50/50 as it seemed to change the dates otherwise. However on the chart it shows 50% by their names. Can I get rid of this?
Can I also break down Tasks into half days AM/PM as I know you can enter 0.5 in duration but whole day is shown in dates.

The main point of the project is to show allocation of time for staff in interviews so any guidance and tips I can use for this would be greatly appreciated.

Many thanks
Nicole

RE: MS Project

Hi Nicole

Thank you for your questions.

Re the 50% I think you will find it more accurate if you either assign your resources at the same time. Assigning one person then another is probably the reason you are finding the duration changes.

An alternative to this is to set the task to not change dates when you add more people as attendees. The feature that makes this happen is called Effort Driven Scheduling. To switch this off for one task double click it's name and on the advanced tab remove the tick from effort driven scheduling and click OK. To switch this off for future tasks go to Tools > Options > Schedule and this time remove the tick from New tasks are effort driven. You can choose OK to apply this setting to this plan only or choose set as default to apply to this and future plans.

If you would like to schedule tasks to fall at a certain time go to Tools > Options > View and set the date format to include a time as well.

Now if you set a start no earlier than constraint you can include a time alongside the date.

I hope this helps - do let us know how you get on.

Kind regards,

Andrew

Ms project tip:

Keep constraining dates to a minimum

As far as possible avoid fixing the dates of your tasks. For example try to steer of clear dragging task bars in the Gantt chart to move them on the timeline or entering dates directly into the Start / Finish fields.

Date constraints such as these limit Microsoft Project's ability to automatically adjust your project whenever you add, remove or modify the duration of your tasks. Instead use the logic in your task dependencies that link your tasks to enable Project to calculate the start and finish dates for you.
