How do you prevent unwanted spaces appearing when setting up letter mailmerge? i.e when adding your own address fields manually.

RE: Mailmerge

Hi Keren, thanks for your query. Very much a trial and error thing this. When you are inserted your merge fields you can never quite account for addresses which miss a line or don't have a post code. Two solutions, make sure your source data has a value for every potential merge field, and secondly, you could write a macro to "clean" the documents after the merge, searching for unwanted paragraph marks and deleting them out althought that is even more fiddly!

Hope this helps,

Anthony

Word tip:

Change paragraph position quickly

Here are some handy shortcut keys for rearranging paragraphs in your document.

Simply click anywhere in the paragraph you wish to reposition; then hold down Shift + Alt then use the Arrow Up or Arrow Down key depending on which direction you want to move the paragraph in (up or down).

The paragraph will move up or down one paragraph at a time.
