I am trying to develop a system that will allow me to report on the capacitiy of 4 staff members. Each member has 1 Project file. All are connected to one strategic overview file that shows their combined workload. I need to be able to the percentage of their time that each task takes, and therefore the percentage of their time that their workload as a whole takes (ie, are they overallocated).
How do I get them to input the % of their time that a task will take over its duration, without effecting the duration of the task?

Hi David

Thanks for your question. It sounds like you have experienced tasks changing duration when resources are added or removed.

If a task doesn't necessarily go faster because more resources are working on it or slow down because someone leaves the task (meetings are a good example of this) then try splitting the screen (Window > Split) clicking on the task in question and removing the tick from Effort Driven, followed by OK. Now add or remove your resources and the Work will change, not the duration.

If you are adjusting assigned units and finding durations are changing incorrectly change the Task Type. It's just below the Effort Driven tick box on the split screen. Try setting it to fixed duration, clicking OK then adjusting the Unit percentages of your resources. Again you will find the duration remains unchanged but Work will be affected. It's useful to have the Work column added or perhaps Cost so you can keep an eye on the impact of changes you make.

Inserting Task Durations Quickly

When entering durations for your tasks simply use the single letters - m for min, h for hr, d for day, w for week, but mon for month. If default is set for days, you need only type the number, for example 3 for 3days, or 0.5 for half a day.
