How can I effectively insert staff holidays into my GANTT chart so that it is not possible to allocate them when they have holiday booked?

Hello Jen,

Thank you for your question regarding assigning staff holidays to your Gantt chart.

Presumably you have already set up your resources in the Resource Sheet view. Go to this view and double click on the resource you wish to edit and click the 'Working Time' tab. Select the working days for the resource which need to be changed and click the radio button 'Nonworking Time'.

When you assign this resource to a task which falls over the nonworking time period MS Project will pass over the holiday period which you have marked in the resource calendar.

Please remember though, that if the task begins before the resource starts their holiday period MS Project will assign the resource to the first few days of the task and then the resource will be assigned to the balance of the task after the holiday period ends. This in effect could extend the entire project so you have to decide whether it would be better to assign a different resource to this task or use more than one resource.

Ms project tip:

Autofit column width – Project (all versions)

a. Highlight the column or columns you wish to alter the width of.
b. Double click the dividing line between the columns. This dividing line is the break between the columns on the column headers (grey buttons showing the column letter at the top of each column). When you hover your mouse over one of these dividing lines the point will change and show an arrow pulling a line in two directions. When you have this mouse pointer you should double click to get Project to automatically set the column width to fit the contents of the column (autofit)
