How do I select ONLY one heading in outline view?

Hi,

I have a large word-document that needs to be rearranged. The problem is that some parts that should be body text now appears as headings.

Let's say that heading 5 should really be body text. I can go to the outline view and select "show 5 levels" from the drop-down list. The problem for me is that now also heading level 1, 2, 3 and 4 are showed.

It would be very useful to only show level 5 headings, select all text in the current view and convert it to body text.

As it is now I have to select one part of the document, convert it to body text, jump over the next block of lower-level headings, select again etc. (It is a very large document).

Any help would be appreciated.

Hi Jonas

Thanks for your question.

If you have the styles task pane open at the same time as you are in outline view, you can do the following:

1. Find Heading 5 in the task pane list
2. Use the dropdown arrow next to Heading 5 and choose 'Select All X Instance(s)' from the dropdown list.
3. This will select any text that is formatted to Heading 5. Click on Body Text from the styles task pane to change Heading 5 to Body Text.

I hope this helps.
Amanda

Word tip:

Find out what formatting has been used quickly

You can quickly find out what formatting (text, paragraph and section) has been applied to any text or paragraph in your document simply by going to Format - Reveal Formatting on the menu bar. The shortcut keys for this are Shift + F1.

You can use Reveal Formatting to compare the formatting applied to two different paragraphs or pieces of text as well.
