Hello

I was wondering if there was a way to send an email about to my colleagues for milestones, deadlines and completion dates - letting them know how many days they have until the deadline.

Any advice welcome.

Hello Frances,

Thank you for your question. I can suggest two things you could do to send project information to your colleagues.

Firstly, you could use filtering to show summary tasks, milestones, etc. When you have applied a filter, you can right-click all the items and add them to the timeline.

Once all the relevant items are on the timeline, you can go to the Timeline tab in the ribbon, click Copy Timeline, For E-mail. Now, paste the timeline in your email message. This provides a good overview of the project.

My second suggestion relates to showing remaining time until deadline. You need to insert a new column in the Gantt Chart view. Right-click any column header, then click Insert Column. In the header of the new column, type Remaining Duration. This will create a column which shows the remaining time for all task types in your Gantt. Don't forget to mark tasks on track (Task ribbon).

To share this with colleagues, I would suggest that you filter to show project summary tasks with the Remaining Duration column showing. Print this view to PDF and attach it to your email.

Hopefully be trying out later this week.


We are thinking about downloading Microsoft Office Project Add-in
for Outlook.

Will this work for my colleagues who don't have Microsoft Projects installed on their computers but can connect with a share calendar through outlook?

What will happen to changes I make through the project - how live will the transfer between outlook and projects be?

Hi Frances,

If your company has Microsoft Project Server online , employees can connect to the server through Microsoft Office Project Web Access. Outlook connects with Project Web Access through the plugin. Once the two programs are connected, employees can import details on their tasks from Project to Outlook. They can then edit their tasks or change task status using their local machines before sending them to the project manager for approval.

Email a Task

When you need to communicate important information to your project staff use Microsoft Project 2003 to send them a note using outlook or an e-mail system.

1.In a task sheet, select the task or tasks which you want to send a project note.

2.On the File menu, point to Send To, and then select Mail Recipient (as Schedule Note).

3.Under Address message to, select the recipients of your note.
